Privacy Policy

AdvisorKin (“we”, “us”) is a client notes and reminders service for financial advisors. This policy explains what we collect, why, and what you can ask us to do with it. We follow Singapore's Personal Data Protection Act 2012 (PDPA).
Two kinds of data
- Your account data. Your name, email, time zone, plan and billing history, whether you connected Telegram, your referral code (made from your name), who referred you and who you referred, your choice about tips and offers, feedback you send us, when you were last active, and a record of your sign-ins (when, and from which IP address). We are responsible for this data.
- Your clients' data. Everything you enter about your clients: names, birthdays, contact details, meeting notes and anything drawn from them. You decide what goes in. We store and process it only to run AdvisorKin for you, acting on your behalf.
Your responsibilities for client data
You are responsible for having your clients' consent, or another lawful reason under the PDPA, to record their details, and for following your company's and your regulator's rules on client records. Only enter what you need to serve them well.
How we use data
- To run the service: show your clients, reminders, calendar and, if you connect Telegram, the morning digest.
- To analyse a client's notes when you press Analyse, and show you the results.
- To send you sign-in codes and important account emails by email, and the digest you asked for on Telegram.
- To let us know when someone signs up, sends feedback, or has a payment refunded or disputed. Your name, email, who referred you, your message, or the payment details go to our own Telegram, and a disputed payment to our email too.
- Only if you say yes, to email you tips and offers about AdvisorKin, about once a month. Every one has an unsubscribe link, so you can stop them at any time.
- If you ask for a free guide on our website, to email it to you. We keep your email address as a record of what you asked for and what you agreed to, and send tips and offers only if you ticked the box for them. Ask us and we'll delete it.
- To take payment and keep billing records.
- To fix problems, prevent abuse and improve AdvisorKin, and to answer a payment dispute, using your sign-in record and billing history.
We never contact your clients. We never sell, rent or share your data for advertising.
Team plans
If a team leader pays for your plan, they can see how many clients you've added, meetings you've logged and analyses you've used this month, and when you were last active. They don't see how many clients you have in total. They never see who your clients are, your notes, or the messages you send. Your account and clients stay yours if you leave the team.
If you lead a team, the email addresses you list for your advisors are kept with your team, including for people who haven't signed up yet, until you remove them.
Who helps us run AdvisorKin
We use trusted service providers, who handle data only to provide their service to us, for:
- website hosting, database and sign-in
- processing a client's notes when you press Analyse or ask for a drafted message
- payments. We never see or store your card details.
- sending emails
- delivering your morning digest on Telegram, only if you connect it, and telling us about new sign-ups, feedback and refunded or disputed payments
You can ask us for the names of these providers at any time.
Some of these providers store or process data outside Singapore. We choose providers that protect it to a standard comparable to the PDPA.
How long we keep it
We keep your data while your account is open. If you ask us to close your account, we delete your data and your clients' data within 30 days, including the sign-up and feedback notifications we received about you, except billing records we must keep by law. If you started a free team trial, we keep a one-way code for the card, not the card number, so the same card can't get another trial.
Security
Data is encrypted in transit. Each account's data is kept separate so no other account can see it. No system is perfectly secure, but if a breach affects you we will tell you and the authorities as the PDPA requires.
Your choices
- Ask for a copy of your data, or download it yourself on a paid plan.
- Correct your details in Settings, or ask us to.
- Ask us to delete your account and all its data.
- Withdraw consent for anything optional, such as tips and offers by email or the Telegram digest.
If a client of yours asks about their data, please handle it with them directly. We will help you if needed.
Cookies
We only use the cookies needed to keep you signed in. No advertising or tracking cookies.
